The page settings for A5 letterpress printing

You should make the page settings before you start writing. You can also reformat documents that are already in A4 format. In this case, however, extensive post-processing is usually necessary, especially if graphics are included. If the document is already in A4 format, the method described in the third section is more suitable for A5 letterpress printing.

  1. Open a new file and go to "Page setup". You can find this menu at Word 2003 under the menu item File. In the 2010 version, go to the menu item "Page layout" and open the complete menu by clicking on the small icon at the bottom right in the "Page setup" section.
  2. In the menu item "Margins" under the item "Multiple pages", select the option "Book".
  3. Specify below how many pages a single brochure should have. For example, if a brochure is to consist of five folded A4 sheets, you have to select 20 here, since four pages can always fit on an A4 sheet. With this setting, pay attention to the total number of pages in your document so that the individual brochures are as large as possible.
  4. Of course, you can also create simple A5 brochures using this method. Then select the “All” option and you get a stack that all you have to do is fold and staple.

  6. Specify the margins and the gutter. Please note that the margins refer to an A5 page. The gutter is the extra edge needed for binding.
  7. Save the settings and the file and start writing and designing. If you want your book to have page numbers, add them using the "Insert - Page Numbers" menu.

Print brochures in Word

A5 letterpress printing works best when you have a duplex capable printer that means that individual pages can be drawn in again and also printed on the back.

  1. In Word 2003 go to the “Print” menu item in the “File” menu and under “Properties” make all the settings in your printer's menu. If available, select the options "Duplex printing" and "Staple broadside".
  2. In Word 2010 go to “Print” from the “File” menu. If the option "Print on both sides" is available here, your printer is capable of duplexing and you do not need to set duplex printing in the printer menu under "Printer properties". Also select the option "Flip sheet over short edge". If this option cannot be selected, appropriate settings can usually be made in the printer menu.
  3. Start printing. The pages are printed in such a way that at the end you can always remove the previously set number of sheets and fold them into a brochure. However, be sure to check the result at the beginning of the printing process as different printers may require different settings.
  4. If your printer is not capable of duplexing, select “Manual duplex” from the “Print” menu in Word 2003 and “Manual duplexing” in Word 2010. The printer now prints the front pages. At the same time, a message appears for the continuation of the printing process, which you are not allowed to confirm at this point.
  5. Remove the stack and rearrange it. To do this, place the top sheet next to the pile, the second on top, and so on, so that the bottom sheet is on top at the end.
  6. Put the stack back into the printer, observing the direction of the writing, and confirm that you want to continue printing. You can then remove the previously set number of sheets and fold them into a brochure.

Create PDF files from Word for A5 letterpress printing

  • This method is suitable if the document is A4 size and a PDFReader on your computer installed, which should be the case with most computers.
  • In Word 2010 you can save a Word document directly as a PDF file under "Save As". For all previous versions there are free softwarewhich is installed as a virtual printer and enables easy conversion.
  • Most printers can print PDF files directly as brochures. All you have to do is select the appropriate option in the print menu. In the case of non-duplex printers, first print the front pages again, rearrange - as described above - and then print the back pages.
  • If you want to split the document into individual brochures for A5 letterpress printing, you have to for start a separate print job for each brochure by selecting the respective pages in the print menu choose.
  • Note that with this method the content of the page is reduced in size.
