Timesheet: prepare a form for employees

Time clocks are now used in many large companies and authorities. However, this is too expensive for small and medium-sized companies. A corresponding timesheet should be printed out yourself. You can find out how to handle this here.

For many small businesses, the purchase of a time clock is not worthwhile, especially since it entails some costs. Therefore, if you are the owner of a small business or company, you should think about the design of a timesheet.

This is how a time sheet is printed out 

  • A spreadsheet program, such as Microsoft Excel, is best for creating a time sheet form. Divide the columns into the desired width and height and label them.
  • The following terms should appear on the timesheet form in the notation listed here: name of the employee, department, work week and calendar year. You can enter the work week, for example, as a calendar week, but also from Monday, xyz to Saturday, xyz.
  • Since some employees have a slightly larger handwriting, you should leave a little more space for the entries than you might need yourself.

  • Now list on the left-hand side all the days of the week that are your working days. Behind it, the employees should note the respective working and break times (lunch break).
  • Have the staff put the timesheets in either your accountinghand it in to your secretary or yourself. Of course, you can also entrust another employee to evaluate the timesheets.

The time sheet form as a time sheet

  • First and foremost, it should of course serve as evidence of work and break times. Ask your employees to carefully fill out the time sheet form and sign it at the end of the week. Thus, they confirm the accuracy of the information.
  • If you or another employee notices that an employee is providing false information, you should first address them personally and, if necessary, issue a warning. Make it clear to him that a second violation is the termination may result. Of course, ask your employee to explain why he or she made false statements. It may be enough to threaten a warning.
  • The time sheet form is of course also used to prove the number of working hours and any overtime that are paid separately. This is especially important for the employees who are paid according to the hours worked. These employees should of course ensure that the timesheet is available in the payroll office in good time so that they can transfer the due wages on time.

It is advisable to keep time sheets for at least two years. If there are any irregularities, for example in the number of hours worked, this information can be more easily tracked.
