It happens again and again that letters do not reach their destination because the envelopes were not labeled correctly. Since the mail is sorted electronically, all information must be in the correct position. You must pay attention to this when writing on an envelope.

How to correctly label an envelope

  1. If you write on an envelope by hand, you must write it very clearly and legibly. The direction of writing should always be parallel to the long side of the envelope.
  2. Then write your own address in the upper left corner of the envelope. Write the address of the recipient on the right side of the envelope. You start just below the middle.
  3. The first line is the salutation, such as Mr, Ms or a company name. The first and last name of the recipient then follow in the second line. Does the recipient have an academic title, such as Dr. or Prof, such additions must come before the name.
  4. Then write the street and the correct house number on the third line. You may also be able to enter a PO box here.
  5. Labeling envelopes - this corresponds to the DIN standard

  6. The fourth line then contains the postcode and place of residence. However, you have to leave a little space between the postcode and the location. If the letter is sent abroad, you have to put the international country code in front of the postcode.
  7. When writing on the envelope, make sure that there is at least 1 cm of space below the recipient address. This space is required so that the sorting machines can barcode the letter.
  8. If the letter is a registered letter or a registered letter with acknowledgment of receipt, these notes should be placed slightly above the recipient address. However, it is essential that you leave enough space for the stamp.
